Billing workflow for billers

The Billing page is the biller-facing work queue for signed notes that are ready for billing review. It helps billers organize notes by status, preview records, accept or disregard items, and prepare documentation for entry into the EMR.

Who this is for

This article is primarily for:

  • billers
  • clinic admins
  • operations users
  • managers involved in billing review

What you can do on this page

  • review signed notes waiting for billing action
  • switch between To-do, Done, and Discarded
  • search for notes
  • filter the list
  • change visible columns
  • preview an individual note
  • accept a note into the billing workflow
  • disregard a note when it should not move forward
  • copy note details into the EMR after review

How it works

The Billing page is organized into status-based tabs:

  • To-do: notes that still need billing review
  • Done: notes that have already been processed
  • Discarded: notes that were intentionally excluded from billing follow-up

Each row shows key billing fields such as patient, ICD, CPT, therapist, created date, signed date, completion status, and discard status. The view action lets the biller preview the underlying note before deciding what to do next.

Step by step

  1. Open Billing from the left navigation.
  2. Start on the To-do tab.
  3. Use Search if you need to find a specific patient or note.
  4. Use Filter to narrow the work queue.
  5. Use Columns to customize which fields are visible.
  6. Review the row details, including patient, ICD, CPT, therapist, created date, and signed date.
  7. Open the note using the preview or view action.
  8. Confirm the note has been signed and contains the information needed for billing.
  9. If the note is appropriate to bill, accept it into your billing workflow.
  10. If the note should not proceed, disregard it.
  11. Copy the relevant information into the EMR as part of your billing process.
  12. Use the Done and Discarded tabs later to review completed or excluded items.

Tips

  • Start with the To-do tab each day so nothing signed gets missed.
  • Review signed date and completion status together before moving a note forward.
  • Use preview before accepting a note so you catch incomplete or incorrect documentation early.
  • Keep your EMR entry process consistent so note handling is standardized across the clinic.

Common questions or notes

Can billers sign notes from this page?
This page appears to be designed for billing review after clinician signing, not as the primary place for clinicians to complete note signature.

What happens after a note is accepted?
The note moves forward in the billing workflow and can be entered into the EMR.

What happens when a note is disregarded?
It moves into the Discarded status so it is no longer in the main billing queue.
